Dear freelancers,
Our organisation is a large social community for expats in Brussels. We organize many local events, day trips, weekend trips and longer holidays. In the future we intend to roll out more services, including expat trainings and a membership program. Our members have a wide variety of backgrounds (in age, nationality, careers), but they all love to see, do and learn new things with like-minded international people.
Our community is growing fast, with more members, and with more and larger events and trips. This has led to a sharp increase in administrative tasks (which is only becoming more). We are therefore looking for a part-time assistant for the preparatory bookkeeping tasks, which includes:
o Sorting, scanning and printing invoices and cash receipts in order to get a complete digital and hardcopy file of all expenses
o Checking credit card overviews for missing invoices
o Assigning costs to specific events
o Indicating event codes, payment methods and exact amounts on each invoice (in case of foreign currency)
o Putting all expenses in an excel form
o Checking if everything is accounted for
The objective of the work is to prepare the administration for our accountants, who will take care of the quarterly VAT and annual administration. Your help will make their work much easier. At the same time the results of your work provides the organization itself with important metrics.
The ideal candidate is someone who loves to create order in chaos. You are someone who doesn't mind gluing papers on other papers, punching holes and filing them, and going through all expenses one by one. If something is missing, you get a kick out of identifying the problem and to insert the missing piece of the puzzle. Of course all with the objective of handing in a perfect file to ensure the administration is complete, correct, transparent and easy to work with.
You will be working every few weeks for a day or two in our office on Avenue Louise to update all the above. Days and times are flexible, as long as you are more or less up to date at the end of the quarter. So whenever a new quarter starts the administration is ready to be handed over to the accountant. You are registered as an independent and can invoice us on a monthly basis. You don't need to be an Excel-wizard, because our formulas are mostly limited to IS, SUM and IF>THEN, but you should definitely be trained for and/or have proven experience with expense administration. Advanced students in bookkeeping, or pensionated bookkeepers/administrators are certainly invited to apply as well.
