On-Demand Staffing Platform
As a temporary staffing agency we want to create an online platform where temporary workers and employers in need of workers can meet each other, post jobs and apply to them.
The website should have a homepage where 2 different types of accounts can sign-in.
? Employers
? Employees
1. Employers:
Once an employer is signed in he should be directed to a dashboard. Here he can see his (company)profile and change his details. Here he should also be able to see historical data like amount of employees hired, total amount of hours, total amount of jobs posted and preferred employees. Also the billing information should be entered here so we can send the invoice to them.
In addition on this screen there should be the following:
? Manage active posts
o Here they should be able to pause a post, update their post or see who has applied. If someone applied they should be able to be redirected to their personal profile to have a private chat, see their skills/experience and hire/reject them.
? Create a new post
o On this page the employer is able to add new job postings. They should be able to add:
? Position
? Location
? Detailed briefing of the job
? Date and time (or period if job is for a longer project).
? Amount of employees required
? Required skills/education/experience
? Rate
On the post they also enter the rate. This rate is the final rate ex-VAT. Based on this the factor of the
? Approve hours
o Once an employee has worked a shift/project they should be able to register their worked hours in the employee?s page. Once they have done this the hours should be visible on this employers screen. They need to approve these hours (based on this approval an invoice will be send).
? Reviews
o Employees that worked for a particular employer are able to leave a review. The employer should be able to read them and reply to them.
o Employers that have hired employees are able to leave review. On this page they should be able to do that.
2. Employees
Once an employee is signed in he should be directed to a dashboard. Here he can see his profile and change his details (including work experience, education, skills). Here he should also be able to see historical data like finished projects, total amount of hours worked and preferred employers.
In addition on this screen there should be the following:
? Search jobs
o Here they should be able to search for jobs. Jobs should be able to be searched based on position, location, skills, date or sector. Once they have found a job they like they should be able to apply to it. Here they can write a short motivational note, add their resume (optional, as this is already visible on their profile), chat or ask a question to the employer or set the job as ?favorite?.
? Active Jobs
o On this page the employee is able to see the jobs he has been hired for but which are not yet done. Also a list of pending jobs (applied to but no feedback received yet), rejected (including reason) and jobs set as ?favorite?.
? Enter worked hours
o At the end of a shift the employee should be able to enter his worked hours. Once these hours are entered the hours are send to the employer to approve (if working for a longer time, the hours should be send per worked week). Once they have approved the hours, they should be send (could be by .PDF per mail) to us (the agency) and to the employee.
o The employee should always be able to see what hours he worked in the past.
? Reviews
o Employees that worked for a particular employer are able to leave a review. On this page they should be able to do that.
o Employers that have hired employees are able to leave review. The employee should be able to read them and reply to them.
3. Pricing
Payments are being done thru our current system so this will be manually. There is no need for an integrated payment system. Nevertheless we would like an automated pricing system.
For example, when an employer adds a new job he adds the gross salary he wants to pay. As we, as an official staffing agency in the Netherlands, have legal obligations to pay, such as income tax, social security etc. etc. We would like to have an automatic rule which calculates the rate:
1. Employer adds the gross salary per hour
2. An factor* will be added to this salary
3. Agency margin will be added to this salary
4. Base rate will be calculated (ex. VAT)
*This factor is sector-related so we should be able to update this, and have different factors per sector.
Example: Salary: $ 15 * factor: 1.7 + Agency margin: $ 5 = Base rate: $ 30,50 per hour
On the job post, the employee should only be able to see the Gross Salary per hour.
5. Messages and notifications
Eventually we would like to bring this into an IOS/Android app also. As we start with an website we would like to have an mail or SMS notification system where people get notified when someone applies, gets hires/rejected or when someone has a question on their post/application.
We would also like a chat function with the Agency Customer Care for both employees and employers.
6. Back-end
On the back-end we would like to have a basic functionality where we can oversee all the employees, employers, posts, applications etc. also the Agency Customer Care chat function can be integrated here, but is not required to do it here (could be on the side too).
7. Mailings
We would like to add a daily mail to all employees and employers with new registrars or new job listings. So this information should be exported rather easily (e.g. into Excel).
8. Hired
When an employee gets hired there should be automatically be send an agreement per mail to the employee and to the employer that they agree on the position, rate, work etc. etc. A copy should be send to us (agency).
There should be a standard document uploaded to the site with some BLANKS (like employee information) which should be filled in by the system itself.
